Terms of service

These terms govern your use of Hirefile, operated by Hirefile (KVK: 98797867), the Netherlands ("Hirefile", "we", "us"). By creating an account or otherwise using Hirefile, you agree to these terms.

The service

Hirefile lets you build a profile once, then uses that profile, together with AI, to generate resumes and cover letters tailored to job vacancies you track, and to help you manage your applications.

Eligibility and your account

You must be at least 16 years old, or the age of legal majority where you live if that is higher, and able to enter into a binding contract to use Hirefile. You sign in with Google, LinkedIn, or another method we offer, and you are responsible for keeping your account credentials secure and for all activity under your account.

Your content

You retain ownership of the profile, resume, and application data you provide or generate through Hirefile. You grant us the license needed to host, process, and use that data to operate the service, including sending relevant parts of it to our AI provider to generate drafts on your behalf. You are responsible for the accuracy and lawfulness of what you submit, including having the right to submit any third-party information you include, such as reference contacts.

AI-generated content

Resumes, cover letters, and other drafts are generated using AI based on the data you provide. AI output can be inaccurate, outdated, or contain mistakes. You are solely responsible for reviewing and verifying any generated content before relying on it or sending it to an employer or anyone else. We do not guarantee any interview, job offer, or other outcome from using Hirefile.

Subscriptions and billing

Hirefile offers a free plan, a paid Pro plan, and a limited-availability Founder plan (capability-equal to Pro, offered to early sign-ups), all billed through Stripe where paid. You can view your plan, manage payment details, and cancel your subscription at any time from Account > Subscription. Except where required by law, fees already paid are non-refundable.

If you are a consumer in the EU, you generally have a 14-day right to withdraw from a distance contract under the Consumer Rights Directive. Because a Pro or Founder subscription gives you immediate access to paid features, by subscribing you expressly request immediate performance and acknowledge that you lose this withdrawal right once the paid features have been made available to you.

Acceptable use

You agree not to:

  • use Hirefile for any unlawful or fraudulent purpose;
  • scrape, reverse engineer, or attempt to extract the underlying software or models;
  • use the AI features to generate unlawful, infringing, or harmful content;
  • interfere with the operation of the service or other users' access to it; or
  • impersonate another person or misrepresent your affiliation with anyone.

Intellectual property

Hirefile's software, branding, and design remain our property. Nothing in these terms transfers ownership of them to you beyond the limited right to use the service as intended.

Termination

You may stop using Hirefile and delete your account at any time from Account > Danger zone; an active or past-due Pro or Founder subscription must be cancelled first. We may suspend or terminate your access if you breach these terms, in particular the acceptable use section, or engage in unlawful activity.

Availability and discontinuation

We do not guarantee that Hirefile will always be available. We may suspend, restrict, or discontinue the service, in whole or in part, at any time and for any reason, including if we decide to wind down or cease operating the business, without prior notice or liability to you, except to the extent applicable law requires otherwise.

If we discontinue the service, any active Pro or Founder subscription will be cancelled automatically as of the date it becomes unavailable to you, and no further charges will be made. Except where required by law, we are not obligated to refund fees already paid for the then-current billing period, though we may choose to do so.

Disclaimers and liability

Hirefile is provided "as is". To the extent permitted by law, we make no warranty about uptime, the accuracy of AI-generated content, or any outcome from using the service. To the maximum extent permitted by applicable law, we are not liable for indirect or consequential damages arising from your use of Hirefile. Nothing in these terms limits liability where the law does not allow it, for example gross negligence, willful misconduct, death or personal injury, or any mandatory consumer-protection rights you have as an EU consumer.

Governing law

These terms are governed by the laws of the Netherlands, and disputes are subject to the exclusive jurisdiction of the competent Dutch courts, without prejudice to any mandatory consumer-protection provisions of your own country of residence if you are an EU consumer.

Changes to these terms

We may update these terms from time to time. If we make material changes, we will notify you, for example by email or an in-app notice. Continued use of Hirefile after an update constitutes acceptance of the revised terms.
